Position Overview
The Operations Associate will manage multiple priorities by providing administrative and operational support in a positive, transparent, upbeat work environment. We’re looking for a bright, hardworking and dedicated individual to join our team. The ideal candidate will be a highly organized go-getter who is comfortable with technology, detail-oriented and proactive. This role is the backbone for daily operations of the firm and reports directly to the founder.
Key Responsibilities
- Serve as a reliable point of contact for clients; provide support and strong follow-up
- Schedule client meetings and manage advisor calendars
- Process client paperwork (account openings, transfers, beneficiary updates, etc.)
- Track and follow up on pending client service items in a timely manner
- Assist with all aspects of onboarding new clients
- Coordinate and document client communications (emails, mailings, reminders, texts, etc.)
- Update/create content for website, social media, blog & other communication channels
- Assist with money movement requests (ACH, wires, distributions, contributions, RMD’s)
- Maintain up-to-date client records and help ensure regulatory and compliance accuracy
- Assist with firm initiatives including client education, marketing, events and operations
- Coordinate with bookkeeping/accounting as needed
Qualifications
Bachelor’s degree with experience in operations/administrative roles
Confident navigating technology platforms and software programs
Excellent professional interpersonal, written, and verbal communication skills
Impeccable attention to detail, go-getter, proactive, systems thinker and organized
